Booking Conditions

Our booking conditions are in place to ensure that you are aware of all the details up front so that you can have a RELAXING, STRESS FREE HOLIDAY! Sound good?

Please, take a couple of minutes to read these details carefully. By booking with Inner Journey Expeditions (IJE) and paying your deposit (or full payment), you are acknowledging that you have read and understood the conditions and that you agree to these booking conditions. Of course call us or email us if you need a few things explained - better to be aware than uncertain.

Deposit, balance, confirmation

When IJE has received your trip request via email, IJE will provide you with an itinerary and quote. Once you are satsified with your itinerary and upon receipt of your non-refundable deposit of 30% (30 percent) for the total tour cost, IJE will proceed with the reservation.

If the tour or activities you request are unavailable, IJE will offer you:

  • An alternate itinerary or
  • Alternative dates of travel or
  • Return your deposit in full

The balance of the cost of your trip is due no later than 50 days prior to the start date of the itinerary. We will advise you of this date via an emailed invoice. If the balance is not received by the specified date, IJE reserves the right to cancel your booking and your deposit will be forfeited. For bookings within 50 days of departure, full payment will be required prior to accepting the booking.

Prior to travelling, all persons in your group must complete the IJE booking form and return it to IJE by email or mail. Some examples of the information include; personal details, passport details, travel insurance particulars and emergency contact numbers.

After receiving full payment and all the booking forms for the group, travel documentation for your activities and accommodation will be issued to you by email prior to your departure or as per prior arrangement, on your arrival in the country you are travelling.

Payments methods

Electronic Bank Transfer

Payment to Inner Journey Expeditions can be made by bank transfer. Our bank details will be sent to you with your invoice.

Cheque

Payment by cheque is payable to Inner Journey Expeditions and mailed to:

Credit Cards

Payment by major Credit Cards (VISA and MASTERCARD) is accepted through PayPal - a safe, easy way to send payment. You don't even need a PayPal account. PayPal handles the payment process so that merchants never see your financial information. Please advise if you are paying by Credit Cardl so we can start the payment process. Payment by PayPal incurs a Credit Card fee additional to the tour cost. Go to www.paypal.com.au for more information.

Foreign currency payments

At Inner Journey Expeditions, we are happy to accept payment in foreign currency, however, we will not pay any bank charges you incur.

Prices, validity & currency rates

Prices promoted on the website and quotes for requested custom tours are in Australian dollars and are based upon costs and exchange rates applicable at the time of preparing these tour prices. The validity of these prices is stated on the relevant tour pages on the website. If you request a tour/s beyond these validity dates or custom tour/s, IJE will forward you a schedule of revised tour prices.

We will do everything in our control to avoid price adjustments and will generally only amend prices in the event of marked fluctuations in exchange rates, fuel costs and other operating costs on which prices are based. IJE will make every effort to keep you informed of any changes that may occur.

Upon request, IJE will quote your tour costs in $USD, EURO or other recognisable foreign currency based upon the exchange rate on that day as calculated by global currency site: http://www.xe.com. IJE accepts payment in foreign currency however we will not pay any bank charges you incur.

Inclusions

  • All accommodation listed in your Trip Confirmation
  • All transport listed in your Trip Confirmation
  • All sightseeing, activities and excursions listed your Trip Confirmation
  • Services of local English speaking guides and drivers as specified in your Trip Confirmation
  • Breakfasts and other meals listed in your Trip Confirmation
  • Any equipment, donations to Charity Events as specified in your Trip Confirmation

There are no refunds for any accommodation, transport, sightseeing, meals or services not utilised by the client.

Exclusions

  • IJE price does not include international or domestic airfares (unless requested by the client)
  • International & domestic departure taxes
  • Travel insurance, visas, passport or vaccination costs
  • Other meals not specified in the itinerary
  • Optional tours & activities during free time and personal expenses such as laundry, telephone calls, bar charges or tips

If you cancel


Cancellation must be received in writing and will be effective from the date IJE receives the notification. In the event that you cancel your IJE adventure, the following charges will apply per person:

60 days or more before departure:

Loss of deposit

Between 45 and 30 days before departure:

50% of total cost of tour

30 days or less before departure:

100% of total cost of tour

Fail to turn up or leave the trip voluntarily:

100% of total cost of tour

If you take out cancellation insurance at the time of booking, in certain circumstances your insurance covers cancellation penalties. But please, do your research and read the fine print!

If Inner Journey Expeditions cancel

Inner Journey Expeditions reserves the right to cancel any trip at any time prior to departure due to terrorism, natural disasters, political instability or other external events beyond our control. In this event, you will be offered an alternative tour or a full refund. IJE is not responsible for any incidental expenses you may have incurred such as visas, vaccinations or flights etc.

Journey amendments

Upon final payment of your trip or seven days prior to your tour start date or whilst you are on one of our tours/holidays, IJE has the right to charge $AUD100 per booking for permitted amendment to your itinerary. 

These amendment charges are in addition to any charges passed on to us by any suppliers such as airlines, hotels or other tour operators. Permitted amendments include without limitation, changes to accommodation or travel arrangements.

Name changes are not permitted as many suppliers deem a name change to constitute a cancellation and re-booking.

Travel insurance

Travel insurance is compulsory for all IJE travellers. It is essential that we have your policy number and insurer details prior to your departure. Your travel insurance must provide cover against personal accident, medical expenses, emergency repatriation if you are undertaking moderate to challenging adventure trips (including helicopter rescue and air ambulance where applicable) and personal liability. It should also cover cancellation of your tour/holiday, loss of luggage and personal effects, 24 hour emergency assistance and a health/medical component for any activities and sports you might participate in.

Passports & visas

You must carry a passport that is valid for at least 6 months. It is your responsibility to obtain the appropriate visas as we cannot accept responsibility if you are refused entry to a country because you lack the correct visa documentation.

Adventure trips

IJE operates adventure trips that may, at times, require a degree of flexibility, a good sense of humour and a willingness to step out of your comfort zone. It is important to understand that you are travelling to geographical areas where the standard of accommodation, facilities, hygiene, telecommunications and infrastructure may not be of the standard you are used to at home. Itinerary changes could occur for many reasons. This may include; road and weather conditions, frequency of visits to a village, local circumstances or for other factors that impact client safety. We ask that you accept and adapt to itinerary changes as part of the trip experience. Please understand that we will do our utmost to achieve the aim of the adventure. Note: No refunds will be given for unused services.

While travelling with IJE, you agree to accept the authority of the guide and local operator at all times. In particular, this applies to all matters likely to affect the safety of travellers and the well being of the group. This includes any decision made about your ongoing participation in the trip or certain activities that comprise part of the tour. If you fail to comply, or interfere with the well being of the group, the IJE tour representative reserves the right to instruct you to leave the tour immediately with no right of refund.

More important things to know

IJE contracts suppliers to assist in the running of these trips. As a contractor only for the persons or companies providing or offering the means of travel conveyance, transport, accommodation or other services and all receipts, e-tickets, vouchers and coupons are issued under the terms and conditions which transportation and services are offered by the suppliers.

To the best of our knowledge, these suppliers are qualified to perform the duties they are contracted to undertake. However, we will not be liable for any injury, damage, loss, delay or irregularity that may occur due to the behaviour of these third parties.

IJE will not accept liability for any traveller who contravenes any law or regulation of any country visited.

Errors & omissions


Many hours are spent writing and preparing your personalised itinerary. We make every effort to verify the accuracy of content in your Trip Dossier, Trip Notes and on the website, however we can not be held responsible for any error, omission or unintentional misrepresentation that may occur.


Traveller complaints


Inner Journey Expeditions strives to ensure your travel arrangements are delivered smoothly. In the event an incident occurs you should intially try to resolve the problem with the provider of the service. If the problem can not be resolved, it is imperative you contact the important contacts on your trip notes. If the problem is not resolved during your trip, you should send Inner Journey Expeditions written correspondence with supporting documentation detailing the nature of your complaint as well as efforts you went to resolve the problem while on your tour within 30 DAYS OF THE DATE OF THE SERVICE DELIVERY.

We will not consider claims made after this period.

Health, fitness conditions & age

Each trip has a “grading” to assist you in choosing the adventure that best suits your level of fitness and experience. You should read the detailed itineraries carefully as some include challenging walks and bike rides. Take the time to consider these tour grades to ensure you select the most appropriate itinerary for your health and fitness and for the enjoyment of the rest of the group. If you have any doubts, please speak to us. 

Please consult your doctor for vaccination and other medical requirements pertaining to your trip. If you take personal medication, be sure to discuss with your doctor whether your medication is recognized as a legal drug in the country you are travelling to. If you have any physical or mental disability that may limit your ability to fully participate in the tour’s activities, please consult us. We may require a medical certificate prior to booking your trip.

After the commencement of your trip, IJE reserves the right to cancel your participation with no right of refund if your medical condition and/or disability could be reasonably expected to affect the normal conduct of the tour and the enjoyment of other group members. So, please be realistic with your choices. We also ask that you be specific when completing the Booking Form “Health Details” section.

All travellers over the age of 70 years must provide a doctor’s letter deeming them fit and healthy to participate in the activities of their chosen adventure. A legal guardian must accompany any traveller under the age of 18 years. If you have any questions regarding age and suitability, please contact us.

If there is something you feel will improve your experience while on your IJE adventure, tell your tour leader or local guide straight away. We will do our best to rectify the situation. Remember, your satisfaction and enjoyment is our priority.
